Email Notification Process

If the SMTP server has been configured and email configurations have been set up, you can take advantage of email notifications as part of the approval process.

Email notifications are useful if approvals are being sought from users who are not using campaigns at the time approval is requested.

Notifications can go to the entire selected approvals group, or go to the last person to push the campaign into pending approval, or go to both.

Status Who the email notification is sent to
Pending Approval Members of the selected Approvals group where the members have a approvals permissions and an email address. The last person to push the campaign into pending approval will also receive this email.
Approving

The last person to push the campaign into pending approval will receive this email.

Withdraw approval request No email is sent.
Approved

The last person to push the campaign into pending approval will receive this email.

Rejected Members of the selected Approvals group where the members have a approvals permissions and an email address. The last person to push the campaign into pending approval will also receive this email.
Note:

If an email address is used more than once per user only one email will be sent.


Email notifications provide a clear view of the task required, the time and date when the campaign state changed and who made the change. Users can directly access the Approvals and Notes screen for the specified campaign by clicking the Approvals and Notes button in the notification, for example:


The status of the campaign can also be seen in the Approvals and Notes screen.
